Retail pharmacy has constraints that generic billing software quietly ignores: the same SKU exists in multiple batches at different expiry dates and different MRPs, Schedule H drugs cannot leave the counter without a prescription record, and dead stock is money on a shelf that expires. This system is built around those constraints, and it is in production handling 100 to 150 daily transactions.

AHow it works
The parts that actually decide the outcome.
01
Batch-wise stock that respects reality
Every unit carries its batch number, expiry date and MRP. Billing picks FEFO — first-expiry-first-out — by default so old stock clears before it becomes a loss, and the invoice prints the batch the customer actually received, which is what a recall depends on.
02
Expiry control with a return window
Alerts fire at 90, 60 and 30 days, grouped by supplier so you can raise a single expiry return rather than chasing individually. The dashboard shows the rupee value at risk this quarter, which is the number that actually changes purchasing behaviour.
03
Prescription gate on controlled medicines
Schedule H and H1 items cannot be billed without capturing the prescribing doctor, patient and prescription reference. The register is maintained automatically in the format an inspection asks for, and the block is enforced server-side so it cannot be clicked past.
04
GST billing that reconciles
HSN codes, CGST/SGST/IGST splits, composite and exempt handling, credit notes for returns, and exports that line up with GSTR-1 and GSTR-3B. Your accountant stops sending corrections.
05
Reorder suggestions from real velocity
Reorder points computed from actual sales velocity and supplier lead time rather than a fixed minimum quantity. Seasonal movement is visible, so you stop over-ordering antibiotics in April and running dry on antihistamines in the pollen weeks.
06
WhatsApp refill reminders
Chronic-medication customers get a refill nudge on WhatsApp a few days before they run out, and their bill arrives as a PDF on the same thread. It is the single highest-return feature in the system for repeat revenue.
BDelivery process
What the first few weeks look like.
01Week 1
Stock migration
We import your existing inventory — from Excel, Marg, or a stock-taking sheet — batch by batch, and reconcile against a physical count before go-live. This is the step other vendors skip and it is why their rollouts fail.
02Week 2
Configuration
GST rates, HSN mapping, supplier master, user roles, invoice format with your letterhead, and the alert thresholds you want.
03Weeks 3–4
Parallel run & training
Two weeks running alongside your current process with staff trained at the counter, so nobody learns the software during a queue.
04Ongoing
Go-live & support
Cut over, then daily check-ins for the first fortnight and monthly reviews after.

Scoped after audit
All prices in INR and exclusive of GST. Third-party costs — ad spend, hosting, SMS and WhatsApp API charges, paid directory listings — are billed at actuals and never marked up.
Batch-wise stock was the reason we switched, and the expiry alerts grouped by supplier have already paid for the system twice over — we used to find expired strips while counting. The WhatsApp refill reminder is the part I did not expect to matter and it brings customers back every month.

Pharmacy — the questions we actually get
Written as straight answers, including where the honest answer is 'no' or 'it depends'.
Yes — migration is part of every rollout, not an add-on. We import batch numbers, expiry dates, MRPs, purchase rates, supplier links and outstanding balances, then reconcile against a physical count before go-live so the opening stock is trustworthy. Marg, Busy, Tally and plain Excel are all routine.
Yes. Controlled medicines cannot be billed without capturing the prescribing doctor, the patient and a prescription reference, and the H1 register is maintained automatically in the inspection format. The restriction is enforced on the server, so it cannot be bypassed by staff at the counter.
Billing continues offline — the counter keeps working from a local cache and queued transactions sync when the connection returns. Reports and multi-branch views need connectivity. For stores with genuinely unreliable power and internet we deploy on-premise with cloud backup instead.
GST invoicing, HSN mapping, credit notes and GSTR-1/3B exports are built in. DPCO ceiling prices can be loaded per molecule and the system blocks billing above the ceiling. We are not your compliance advisor — but the software will not be the reason you fail an audit.
Mostly in what happens after purchase. Off-the-shelf gives you a licence and a helpline. We migrate your stock, configure your invoice format, train your counter staff, and change the software when your process needs it to change. It is also a web application, so the owner can check stock valuation from a phone.
We'll run the geo-grid scan on your current Maps position and send back the grid — the same artefact a paying client gets monthly. No call required, no obligation attached.
