01The problem

A chain running per-store loyalty is not running loyalty. Points earned at one branch could not be spent at another, gift redemptions were authorised verbally, and when a discrepancy surfaced there was no record of who issued which gift to which customer. The programme was costing money without producing the retention data that would justify it.

02What we built

One central ledger for accrual and redemption across every location, processing 150 to 200 transactions a day. Gift redemption runs through an approval chain — the cashier raises it, a manager authorises, and the issuance is recorded against a named customer with the authorising user attached. Role-based permissions separate cashier, manager and admin so the person redeeming cannot also approve. Every point movement is an immutable ledger entry, which means the question 'who issued which gift to which customer, and when' has a single answer.
